Vendor & Supplier Policy

How outside suppliers register, access the venue, use the vendor area and power, and leave it clean.
1. Registration
Outside vendors are welcome. Every supplier must be registered with management at least 7 days before the event, with the company name, contact person, number of staff, vehicles and equipment, and any power needs.
2. Access and timings
Suppliers may access the Venue only during the set-up and breakdown times in the Client’s Booking Confirmation, using the vendor entrance and the routes shown by staff.
3. Catering and food safety
- Food preparation and cooking happen only in the dedicated vendor and cooking/service area, never in guest areas.
- Caterers are responsible for food hygiene, safe gas handling and fire extinguishers at their cooking stations.
4. Power and equipment
Declare high-power equipment (sound systems, lighting rigs, cold rooms) at registration so we can plan generator loads. All equipment must be in safe working order and cables secured to avoid trip hazards.
5. Waste and clean-up
Suppliers remove their equipment, packaging and food waste by the end of the booked breakdown time and leave their area clean. Charges for extra cleaning or removal are passed to the Client.
6. Conduct and insurance
Suppliers follow the Venue Rules and staff instructions. We recommend suppliers carry public liability insurance; we may ask to see it for high-risk services such as rigging or special effects.
